Operations Supervisor


Position Purpose:
Advise senior management on improving overall efficiency and effectiveness of organizational operations. Responsible for office management, space management, records managements and compliance, security, technology, and supplies.

Essential Functions and Responsibilities:
1.Supervises support staff and oversees clerical programs, policies, and procedures.
2.Develop facility and technology management plans, ensuring the day-to-day and long-range building, telephone, and computer operations operate efficiently. Oversees equipment acquisitions as approved by the Executive Director.
3.Provide basic computer and technical support to department users.
4.HIPAA Privacy Officer for FSR. Overall responsibility to oversee FSR's compliance with data privacy and security requirements under HIPAA regulations.
5.Supervise FSR's quality assurance efforts and staff.
6.Manage the facility to maintain a safe work environment. Identify and maintain the day-to- day operations to ensure repairs are completed.
7.Manage FSR's organizational risks with appropriate insurance coverage as approved by the Executive Director.

Other Responsibilities:
1.Communicate with outside vendors that provide building and grounds maintenance or computer maintenance and technology.
2.Participate on the IT Committee of the Family Service Rochester Board of Directors.

Supervisory responsibility:
Direct supervisor for the reception staff, data analyst, and building technician positions.

Training and Experience:
Prefer a bachelor's degree in Business or a related field plus two to four years of experience, with an emphasis in business operations.

Knowledge, Skills and Abilities:
Must possess skill in business arithmetic with high numeric aptitude and attention to detail. Knowledge of business principles and functions with the ability to effectively organize and prioritize daily workload to accurately complete assignments within established deadlines. Must possess effective interpersonal communication, analytical and problem solving skills. Requires the ability to maintain a high level of professionalism while managing large volumes of complex and confidential information.

Special Requirements:
Willingness and ability to work additional time if needed to meet critical deadlines.

Physical Demands:
Must be able to regularly talk, hear, sit, and perform keystrokes to enter data entry with speed to insure work is completed in a timely fashion. Requires physical ability to routinely handle normal office materials and tools including frequently filing, lifting up to 20 lbs., and reaching; ability to move throughout office areas to complete work assignments.

Work environment:
Exposure to normal office heating and cooling systems and chemicals used for normal office equipment.
